Office Coordinator

The Cline Company is seeking an office admin with 3+ years of experience, preferred. We work on home furnishings, remodeling, new residential construction, and boutique commercial projects. We are based in downtown Edmonds, Washington.
We are a supportive team that focuses on solutions and collaboration with our clients and our team. Candidates should possess a sense of urgency and prioritization and have experience working in a small team environment. Candidates should also be willing and able to travel locally with their own reliable vehicle. We are somewhat fast-paced for a small design-build firm and need a team member who can juggle many hats.
Skills & Experience

Worked in an office setting in an Admin capacity for at least 3+ years

High school diploma, GED, or equivalent

Specific design and or construction industry experience preferred

Proficient with Google Suite / Microsoft / Apple products

QBO experience
-
AP/AR experience
-
Good communicator, confident in asking questions and making decisions

Organized/self-motivator

Works well with others and can foster a positive work environment

Completes tasks on time and can properly prioritize work

Proficiency in using office software and database management (PM software a plus)

Strong attention to detail
Responsibilities

Managing mail
-
Collect, file, and reimburse receipts.
-
Attach receipts to transactions into QBO and allocate according to billable or non and
class to each project/customer name.

Recording checkbook and invoice payments in QBO.
-
Sort, organize and file documents physical or digital.
-
Collect insurance documentation from contractors and save in their contractor folder and organize schedules to update annually.

Update any W9s forwarded/saved in W9 folder and in QBO.
-
Able to deal firmly and fairly with contractors, consultants and clients
-
Pay vendor bills (Gusto, ACH, checks).
-
Coordinate and schedule appointments as well as follow up on leads.

Handle incoming calls and correspondence, directing them to the appropriate staff
members.

Assist with client billing and invoicing processes

Track and maintain office supplies inventory and place orders as needed.

Maintain and manage design resource library
-
Provide general administrative support to staff members as needed.

Provide customer and vendor support as needed.

Assist order desk with returns & client storage room organization

Greet customers & set a positive showroom atmosphere
